Team tasks, approvals, and handoffs

A purchase request sits in an email folder; since no one has written down who approves it, whoever raised it can't tell where it's stuck. When work is handed out in group chats or in passing, who has taken on what stays just as unclear. Krafera ties tasks, approvals, and handoffs to a written flow, based on how your team works today.

The desk where approvals wait

At handoffs, the problem can show up in three ways: a purchase, discount, expense, or leave approval that no one can track down; work passed from one shift to the next without a written note; and opening, closing, or quality checklists still kept on paper. When no one has written down who can approve up to what amount, or who takes over when that person is away, a pending approval is a missing rule.

What gets checked along the approval chain

  • How work is handed out: group chats, verbal instructions, spreadsheets, or a task tool
  • Which approvals go through whom, and whether that changes with the amount or the subject
  • Who takes over when the approver is away
  • How handoffs between shifts or departments happen, and where they're written down
  • What the written proposal could use as criteria: time spent waiting for approval, the share of tasks closed on time, and the share of shifts with a handoff note

The form of the task and approval flow

Sometimes a short written approval rule is enough, with no new tool involved. When a rule isn't enough, Krafera works up from the smallest step.

  1. Settings in the task or messaging tool you already use: task lists, an owner field, and an approval step
  2. An approval flow built with a form and notifications: a request enters the form, goes to the right approver by rule, and moves to a backup if it waits too long
  3. A single screen where the team sees tasks, approvals, handoff notes, and checklists together, with its upkeep set out in the written proposal

Limits on authority, records, and adoption

  • You decide who holds approval authority and where the amount limits sit; the flow applies those decisions.
  • The flow doesn't approve anything by itself; approval stays with the authorized person.
  • Payroll, official leave records, and employment law matters are outside the scope of this work.
  • Results depend on whether the team uses the flow, so Krafera tries out what it sets up with the people doing the work before handing it over.
  • If your current tool can't be connected, Krafera builds the approval flow on forms and email, and records inside the tool are updated by hand.
  • Employee information is kept to what the work requires, with Turkey's data protection law (KVKK) in mind, and leave requests don't ask for details of the reason.
